VC Ultimate Hiring Office Administrator

Position Title: Office Administrator (with Bookkeeping responsibilities) and Customer Service Coordinator

Our small dynamic business is seeking a proactive, detail-oriented, personable and highly ethical individual with a proven track record in customer service and office/business administration. The individual must be an exceptionally organized multi-tasker and team player with strong computer skills (Outlook, Word, Excel, QuickBooks).
The individual is responsible for customer service duties, as well as administrative and accounting functions including but not limited to payroll, bookkeeping, order delivery logistics and customer follow-up. This position is a part-time role with flexible schedule requirements.
Key Responsibilities & Duties:
Reception & Office Administration:
• Office administrative duties such as but not limited to: answering, screening, and forwarding calls; greeting customers, receiving shipments, respond to email and telephone inquiries
• Maintenance of office and job filing systems and ensure that these systems are being properly used by all
Purchasing & Accounting:
• General receivables/payables bookkeeping: Entering of vendor invoices and creating customer invoices and recording payments QuickBooks accounting software
• Maintaining and purchasing office and shipping/packaging supplies
• Submit payroll and work schedule information to payroll service on the 11th and 26th of each month
Customer Service:
• Shipping: organizing shipping of customer orders, including quality control checks, packaging of goods and processing shipments with UPS
• Maintenance of a customer service calendar listing all orders, customer due dates and any other pertinent information, such as specific shipping requirements, etc.
• Follow-up with customers during and after order shipments; contacting any customers whose orders are delayed and supplying revised information
• Able to negotiate compensation solutions with dissatisfied customers within VC’s standard guidelines as these situations can represent significant identifiable losses to the organization (monetary consequences, identifiable deterioration in public or customer relations)
Qualifications & Characteristics:
• 1 to 3 years experience working in an administrative support and/or bookkeeping role in a professional office environment
• Intermediate to advanced knowledge of MS Office Suite (Word, Excel, Outlook)
• Knowledge of bookkeeping and experience with Quickbooks software essential
• Must be able to work under tight deadlines and minimal supervision
• Able to take initiative; is a proven self-manager as well as a team player
• Organized and detail oriented with the ability to multi-task and manage priorities
• Excellent communication skills, both oral and written
• Able to conceptualise, create new methodologies, and implement ideas in the operational environment
• Must have a positive attitude, optimistic outlook, and enjoy interacting with customers.
Training: Company-specific training is ongoing
Location: Downtown Toronto (College & Dovercourt – TTC accessible, free neighborhood parking)
